Shipping your stock to the 2026 Frankfurt Book Fair with the APA and Book Systems

The Frankfurt Book Fair is on from the 7th to 11th October, 2026, and is fast approaching! Book Systems is partnering with the Australian Publishers Association to ship exhibitor stock to the fair.

If you would like your exhibition stock shipped to the fair, please contact the APA directly. Once you’ve registered your interest with the APA, you’re ready to send your exhibition stock to Book Systems for shipping to Frankfurt!

Follow our shipping checklist to help ensure your freight arrives at our depot in time and is delivered safely to your stand.

If you’re a Book Systems Fulfilment customer, these instructions do not apply. Instead, please submit a Sale Order through your integrated webstore, or through our fulfilment portal. Set the delivery address to “Frankfurt Book Fair”, and we’ll take care of the rest!

1.

Pack your exhibition stock into cartons. It’s best to use strong, rigid boxes. Each carton should weigh no more than 20kg.

Once your cartons are packed, please print and fill in Book Systems carton labels, affixing one to each carton. Labels can be downloaded from the links below.

Prepare a commercial invoice and packing list for your cargo. The commercial invoice should include your declared value for customs entry in Germany, the total number of items/books, and include the statement:
 * FOR CUSTOMS PURPOSES ONLY *

Complete and submit a Book Systems Shipper’s Letter of Instruction (SLI), found further down this page.

5.

Deliver your cartons to Book Systems by Wednesday 9th September, 2026, using your preferred courier service. Our address for delivery is:

FAQ

What is the shipping arrangement between the APA and Book Systems?

Each year, Book Systems prepares a consolidated air freight shipment of exhibition stock for APA members exhibiting in Frankfurt. This shipment is flown to Germany a few weeks before the start of the fair, then transferred to the Frankfurt fairgrounds. Once the exhibitor stands have been built, your stock is delivered to your stand, ready for your arrival.

How do I get my exhibition stock to Book Systems?

You will need to arrange a courier service to deliver your cartons to Book Systems. Our delivery address can be found further up.

When do I need to have my stock at Book Systems?

All stock should arrive at Book Systems by Wednesday 9th September.

What else can I ship?

For the purposes of the Frankfurt Book Fair, you may only ship books, magazines, flyers and brochures, business cards, and other paper-based products. We cannot accept any batteries, electrical equipment, digital devices, or stationery.

Will Book Systems bring my stock back to Australia?

Unfortunately, no. Under the terms of the agreement, return transport to Australia is not included. You are of course able to bring your stock back to Australia by your own means, or give it away as part of the fair close-down.
